Set Up Sent Referral Tracking

If you set up referral tracking, users can view a list of referrals sent by email using a communication report. In addition, if you enable automatic tasks for sending reasons, tasks are automatically created for users when they send referrals.  

1. Add a referral sending reason list.

  1. Go to Settings > Items & Lists > Lists.
  2. Select Add list.
  3. From the Type list, select Referral sending reason.
  4. Add a Name for the list.
  5. Select Save.
  6. On the Items & lists > Lists page, find the list you created and select Activate a the end of the list row.

2. Add sending reasons to the list.

The 'external', 'internal', 'other', and 'patient history request' reasons are added automatically to a new referral sending reason list. You can edit them or add other items as needed.

  1. On the Items & lists > Lists page, find the list you created and select the link to open it.
  2. Select + Add item.
  3. Add a Code (optional) and a Label.
  4. Select Save.

3. Optional: Add areas of expertise for referrals.

If you add a list of areas of expertise and link it to a sending reason, users must select an area of expertise for the selected sending reason when sending a patient referral by email.

  1. Go to Settings > Items & Lists > Lists.
  2. Select Add list.
  3. From the Type list, select Referral area of expertise.
  4. From the Referral sending reason list, select a referral sending reason you want to link the area of expertise to.

  5. Add a Name for the list.

  6. Select Save.

  7. On the Items & lists > Lists page, find the list you created and select Activate a the end of the list row.
  8. Select the list name link to open it and select + Add item.
  9. Add a Code (optional) and a Label.
  10. Select Save.
  11. Repeat steps 8.-10. to add the areas of expertise you need.

4. Enable the setting for mandatory referral sending reason.

Go to Settings > General > Department > Department settings and select Enable mandatory referral sending reason.

When this setting is selected, users must select a sending reason when sending a referral by email.

5. Optional: Enable automatic tasks for sending reasons.

  1. Go to Settings > General > Department > Department settings and select Enable automatic tasks for emails with sending reasons. When this setting is selected, a task is automatically created for a user when the user selects a sending reason specified in the following step for an email.
  2. In the Sending reasons for automatic task creation field, add the referral sending reasons that will create automatic tasks.
