You can automatically bulk update the client debt status tags to a different debt status when sending debt letters. To enable this function, complete the following setup.
1. Set up a custom field for debt statuses.
If possible, use an existing custom field that matches the debt statuses you want to tag. Otherwise create a new custom field. Whether you use an existing custom field or create a new one, set the custom field settings as follows:
- Go to Settings > Lists & Templates > Custom fields.
- Select Add.
- Add a Name for the custom field.
- From the Field type drop-down list, select the Select option.
- Select the Is required checkbox to make the custom field required for clients.
- From the Usable for drop-down list, select Client.
- In the Options field, add the different debt statuses you want to use. To create a new option, type in the field and press Enter.
- Select your 'no debt' option as the Default field value for the field. This is needed so that you can update the status of clients back to 'no debt' when they have paid their debt. See also Enable Changing Debt Status to 'No Debt' Without Sending a Debt Letter.
- Select Save.
2. Set up the client tags for the debt statuses.
If possible, you can edit and use existing client tags. Otherwise, create new tags. Whether you use existing tags or create new ones, set the settings as follows:
- Go to Settings > Lists & Templates > Tags.
- Select Add tag.
- In the Text field, add a name that corresponds to the debt status you want to tag.
- Select the Background colour and Text colour for the tag.
- If multiple departments are used, select the Department the tag will be used for.
- Under Usable in, select Client.
- Under Used only for, select Custom field.
- In the Custom field (select or multi-select) field, select the debt status custom field you created or edited in 1. Set up a custom field for debt statuses.
- In the Custom options field, select the debt status for the tag.
- Select Save.
Repeat the steps to create the tags you need.
When a debt status custom field option is selected for a client on the client page, the corresponding tag is automatically added to the client. To update client tags automatically when sending debt letters, you also need to link the debt statuses to the corresponding debt letters.
3. Set up the debt letters.
- Go to Settings > Print settings > Debt letters.
- From the Client debt status field list in the Body settings, select the debt status custom field.
- Open the debt letter template you want to edit or select New template to create a new one.
- From the Client debt status drop-down list, select a debt status you want to connect to this debt letter.
- Select Save.
Repeat to create the debt letters you need.
Enable Changing Debt Status to 'No Debt' Without Sending a Debt Letter
You can also bulk update the debt status of clients back to 'no debt' without sending a debt letter. To enable this, create a debt letter as above for 'no debt' with the following settings:
- From the Client debt status drop-down list, select your 'no debt' status.
- Select the Exclude from sending checkbox so that the debt letter sending options will not be available when using this template.
