Overview of Automatic In-House Fees

Fees can be added automatically on the consultation invoice when a patient is treated as an inpatient. These automatic in-house fees are connected to wards and are added based on rules. You can create two types of automatic in-house rules: one-time fees and recurring fees.

One-Time Fees

A one-time fee is added when a patient is admitted as an inpatient to a consultation. In a hospital workflow, a patient is typically admitted as an inpatient only once during a consultation, and a one-time fee is only applied once. However, it is possible that the same one-time fee is added more than once if a patient is first admitted as an inpatient, then changed to an outpatient, and readmitted as an inpatient to the same consultation. You can remove any unwanted fees manually from the invoice.

One ward can have several fees connected to it so that several different fees are applied when a patient is admitted to the ward.

Recurring Fees

Recurring fees are added daily at a specific time.

Recurring fees can also be created as entrance fees. In this case, the fee is added to the consultation immediately when the patient is admitted or moved to a ward defined in the rule, regardless of the time.

A recurring fee is only charged once per day. Even if a fee has been set as an entrance fee to multiple wards, it will only be added once if a patient is moved between the wards during the same day. This also applies if a fee has been manually deleted from the invoice by a user. If you want to add the same fee several times a day, you must create different rules with the same fee procedure and same ward.

Example 1

'Fee 1' is set as an entrance fee for Ward A and Ward B and is to be added at 18:00.

  • When a patient is admitted as an inpatient to Ward A at 14:00, the fee is added as an entrance fee.

  • At 16:00, the patient is moved to Ward B. The fee is not added again, because it was already added during the same day.

  • At 18:00, the fee is not added again.

  • At 23:00, the patient is moved back to Ward A. The fee is not added again.

  • The patient remains in Ward A until 18:00 the next day. The fee is added for the new day.

Example 2

'Fee 2' is set as an entrance fee for Ward C and is to be added at 15:00.

  • When a patient is admitted as an inpatient to Ward C at 12:00, the fee is added as an entrance fee.

  • At 13:00, a user deletes the entrance fee row from the consultation invoice.

  • At 15:00, the fee is not added again, because it was already added during the same day.
