Match an Orphan Cubex Cabinet Item to a Consultation

When the Cubex cabinet integration is used, sometimes an item may not be matched to the correct consultation or patient for some reason. For example, an item may have been taken directly from a cabinet without adding it on a consultation in Provet Cloud first, or the quantity taken from the cabinet does not match the quantity added on the consultation. In these cases, the item status does not update correctly on the consultation, and the item is listed as an orphan item. Orphan items must be matched manually to consultations.

To match orphan items from the Orphan items page:

  1. Go to Patient care > Orphan items.
  2. Find the item in the list and select Add to consultation. A dialogue opens.
  3. Add the client and patient and select the consultation that the item is related to.
  4. Select Save. The consultation page and item dialogue open. The item dialogue shows the red text: 'Orphan item will be linked to this item".
  5. Check and fill in the item information and save.

To match orphan items from a consultation page:

  1. Under Treatment items, select the plus button in an item section (Medicines, Foods, or Supplies). A search dialogue opens.
  2. Select the Orphan medicines (or foods or supplies) checkbox. A list of orphan items opens below.
  3. Find the item in the list and select Add to consultation. The item dialogue opens.
  4. Check and fill in the item information and save.

If you have problems with your Cubex cabinet integration

  • Contact Provet Could support: If client, patient, or item details are not updated correctly to the MyCubex software from Provet Cloud. For example, when a Cubex item is added on a consultation, or client, patient, or item details are updated in Provet Cloud, and these changes are not updated in MyCubex.
  • Contact Cubex support: If you have any issues with the MyCubex software or Cubex cabinets, for example, if information is not updated correctly from MyCubex to the cabinet or vice versa.
