This article will show you how to mark an appointment as “No Show” when an appointment was missed by a client or mark an appointment as cancelled when a client has called to request this.
1. Open the appointment for editing
First access the appointment details prompt, which can be done by clicking the appointment block from within the appointment calendar.
2. Select "Mark as No Show"
Then click the “Mark as No Show” button located in the lower portion of the prompt. An example screen is shown below.
Next, the confirmation screen will prompt, as shown below.
3. Define cancellation or no show reason
The cancellation reason and any additional cancellation text can be entered at this time within appropriate fields. Please note, a cancellation reason or cancellation text note is not required to simply mark an appointment as no show. However, a common workflow is to use the “No Show” reason field to clarify between an owner cancelled appointment and no show appointment. Finally, click “Save” to close and save the no show/cancellation prompt.
The Appointment Calendar Visual
Your appointment calendar will refresh at this time, updating the appointment to a no show/cancelled status. Appointments which have been marked as no show or cancelled will contain a red block at the end of the right side of the appointment block for easy identification, as shown in the screen example below.
The cancellation status will also display as no show, with the indicated reason when viewing the appointment details card.
Editing the No Show Appointment Status
If the appointment status should need to be updated from no show, this can easily be done by selecting the “Mark as Show” button now located where previously the “Mark as no show” was located.
Once again, a prompt will open to confirm the status update of the appointment. Select “Save” to confirm the status update.
Settings > Items & Lists > Reasons > Cancellation Reasons
Within settings, you are able to define specific cancellation reasons. Use the “Add” button to add cancellation reasons for use when updating an appointment to no show.
