Introduction
If you have duplicate patient records in your Provet Cloud, you can merge the data from one patient record to another. The merged patient record is archived. If you need to revert the action, you can unmerge the merged patients. For how to avoid duplicates, see Avoiding Duplicate Patients.

Merging Two Patients
- Go to Clients & Patients and select the patient you want to merge with another patient. Note that the patient to be merged cannot have unfinished consultations or unpaid invoices.
- On the client page, select Tools > Merge patient. The Merge patient records page opens. The patient under Target patient record will receive the data from the patient under Patient record to merge in the merge. The patient under Patient record to merge will be archived.
- Under Select general info to keep, select which general information you want to keep. By default, the target patient information is selected. In the right-hand side panel, you can view all the data that will be merged.
- Select Merge in the bottom right-hand corner of the page and confirm. Information about the merge is saved in both patients' notes on the Communication tab.
Archived patients can be found on the Clients & Patients tab using the Archived filter. Archived clients are shown with a strikethrough.
Unmerging Patients
- Find the merged patient in Clients & Patients using the Archived filter and open the patient page. Depending on the department settings, you may also be able to find archived patients using the super search.
- Select Tools > Unmerge patient. The Unmerge patient records page opens. The merged data from Target patient record will be returned to Patient record to merge. In the right-hand side panel, you can view all the data that will be reverted.
- Select Unmerge in the bottom right-hand corner of the page and confirm.
Avoiding Duplicate Patients
You can avoid creating duplicate patients in Provet Cloud by adding a microchip number for patients. If the same microchip number is saved to more than one patient, Provet Cloud shows a warning message in the patient details editing page of the duplicate patients.
When Creating a New Patient
When you are creating a new patient account and add a microchip number that has already been saved for another patient, the warning is shown when you click outside the microchip field or select Save. To view the patient(s) with the same microchip number, select Show duplicates. A dialogue opens showing the other patient(s) that have the same microchip number.
If the new patient is a duplicate, you can cancel creating the patient and go to the existing patient page by selecting Open patient page.
If the matching patient(s) are not duplicates and you want to continue creating the new patient account regardless of the same microchip number, select Cancel to return to the patient details page. Then select the Save regardless of duplicate microchip ID checkbox (which appears when you try to save the page for the first time) and save the page again.
When Adding a Microchip Number to an Existing Patient
Note that it is possible to save a duplicate microchip number to an existing patient without a warning from the microchip icon, on the 'mark as arrived' page, or when adding a microchip number with the microchipping procedure. You can avoid this by adding the microchip number from the patient details page where a warning is always shown if the microchip number is already in use.
Also, if the VetEnvoy integration is used in your Provet Cloud for registering microchip numbers, registering a duplicate microchip is not possible.
