Overview
Text templates are predefined templates for any text related notations or instructions such as clinical notes, discharge instructions, medicine instructions, or client communications. Text templates improve notation, communication, and workflow efficiency as well as increase documentation standards and detail by offering base text templates for easy selection and use. Any text template can be modified as needed when in use, and eliminates the need for the user to compose an entire notation or message for every use case scenario. Text templates are recommended for any notations, instructions or communications which are repetitively used.
Instruction
Text templates must be created prior to being available for use. To access text template settings please follow Settings > Items & lists > Templates > Text templates
Text Template Types
Text templates are available in 7 types, each with distinct availability and intended use within Provet Cloud functionalities.
- Clinical note - a clinical note or medical record entry that occurs during an ongoing consultation
- Discharge note - discharge instructions which are shared with the client at the end of a consultation visit
- Medicine instruction - medicine label instructions on how to use a dispensed medication
- Communications - a client communication such as email message
- Preliminary note - preliminary notes completed during the admission dialogue when consultation is being admitted
- Referral remark - laboratory remarks or referral field notation available within referral dialogue
- Laboratory result report - notation which provides commentary on laboratory results and is entered within corresponding laboratory referral
How to create a text template
- Select 'Add' within the text templates section
- Select the appropriate text template type
- Define the template title by which it can be recognized when in use
- Enter text body which can be either free type text or a combination of text and placeholders. For instruction on using placeholders, please reference the section 'Using placeholders' discussed below
- Format text as desired using font style selections available
- Define department(s) the template is available within (if multiple departments are in use)
- Select 'Save' when informational fields are completed
Using Placeholders
Placeholders are identified by double opposing brackets [[......]]. Placeholders serve the purpose of identifying where and what information will be automatically populated and included within the defined space from Provet Cloud. Placeholders are available for standard information such as patient information, client information, medicine information, department (clinic) information, consultation and supervising veterinarian information, as well as the date and time information. Example placeholders would be [[patient_name]] or [[current_date]].
Default informational placeholders are available, however custom created placeholders can also be defined within text templates. To include a placeholder in a template, begin by typing ' [[ ' and a list of available placeholders will appear. This can be refined by typing the placeholder level such as 'patient' or 'client' which will limit the shown results to corresponding options.
Text Input Placeholder
- To add a text input field into the template type:
[[ ]]
If you would like to add a description to the input field you would type the description in between the double opposing brackets as such:[[ optional placeholder text ]]
- A larger text input field may be added to the template by including:
[[+ +]]
If you would like to add a description to the input field you would type the description in between the double opposing brackets as such:[[+ optional placeholder text +]]
- Checkbox selections can be added using:
[[ option 1 | option 2 | option 3 | ... ]]
where options are separated by a vertical line. You may define as many selections as necessary. - Single selection options can be added using:
[[ text for option 1 / text for option 2 / ... ]]
where options are separated by a forward slash. You may define as many selections as necessary.
Editing Text Templates
To edit a text template, simply select the edit pen icon located at the end of the template row. This will open the text template prompt where you are able to adjust any information as desired, and then select 'Save' to finalize updates.
Deleting Text Templates
To delete a text template, simply select the trash bin icon located at the end of the template row. A confirmation prompt will open alerting the user for confirmation they wish to delete/archive the text template. Select the red 'Archive' button to delete the text template.
Archived text templates can be viewed by selecting the 'Archived' filter. If a text template was falsely deleted or archived, this action can be undone using the circular arrow icon located at the end of the archived template row. A confirmation prompt will open alerting the user for confirmation that they wish to restore the text template. Select 'Save' to complete the restore process.
Using Text Templates
Text templates are available within their respective corresponding functionalities. For example, clinical note templates are available for selection and use within the clinical note section of a consultation. A list of available text templates can be viewed and selected by clicking the 'Text templates' icon where it appears. A prompt will then open providing a list of all available templates which can be included by selecting the green 'Add' button. An example screen is shown below.
