Editing and Managing Label Printers and Templates
Introduction
With PDF label printing, you can print labels as PDF files from Provet Cloud, so that no special integration software or devices is needed (such as the Windows Printing Program or Blackbox Integration). You only need a compatible label printing device that can connect to your computer. The printer can also be connected as a network printer.
NOTE: Label printing settings and printer setups are department-specific (location-specific).
1. Connect your physical (label) printers.
PDF label printing is a universal solution, meaning that all modern printers and specific label printers that can print PDF files are compatible. You can connect them to a workstation directly, usually through a USB connection, or set them up as network printers.
In terms of label size support, Dymo printers are better supported as Provet Cloud provides some presets for them. However, most label printers should work.
2. Enable PDF preview printing.
- Go to Settings > General > Integrations > Label printing.
- Open the section for editing using the blue edit button.
- Select PDF preview print from the Enabled label printing solution drop-down menu.
- Select Save.
3. Add PDF printer(s).
Add one PDF printer for each type of physical label (different width, height, orientation, margins, etc.) you need. If there are several physical printers that print the same type of label, only one virtual Provet Cloud PDF printer is needed for them.
- Select Add PDF printer from the label printers' subsection.
- Fill in the printer profile. Note that some presets are available under the Label size option.
- Use the Print test label and View test label options to preview.
- Select Save.
Notes and tips:
- One-click printing can be set up with the Hardware Bridge print type field. Otherwise, you can leave this field empty. See an example below.
- PDF label printing is also possible when you are already using the Blackbox 2.0 solution. In that case, you can choose whether to print a PDF or use the direct method of Blackbox 2.0.
- Excessive resolution (DPI) may increase label generation time.
4. Create label templates.
You will need a label template for each label type you want to print, and there can only be one template for each type. These templates are shared with the Blackbox 2.0 solution.
- Select Add from the Label templates subsection.
- Select Label type. This affects where the template will be available for use.
- Configure the Header, Body and Footer. Placeholders are available depending on the selected label type.
- Select an option from Preview on device to get a preview.
- Select Save.
5. Set up one-click printing (OPTIONAL).
One-click printing allows skipping the browser and operating system printing dialogues so that the label can be printed straight from Provet Cloud.
Note that this functionality may require a considerable amount of time to set up for perfect results. The system has been successfully tested on Windows 10 with Dymo LabelWriter 550 and S0722400 Large Address labels.
Setup Example - Dymo LabelWriter 550
With the following instructions, you can configure a Dymo LabelWriter 550 device to the correct defaults for printing S0722400 Large Address labels. It is assumed that the device and its drivers have already been installed according to the manufacturer’s standard setup instructions. Among other things, this ensures that the required paper (label) sizes are registered to the operating system.
1. Match print types.
When adding or configuring a new PDF printer using the instructions above, make sure that the Hardware Bridge print type in Provet Cloud and the Print Type in Hardware Bridge match 100%. In this example, both are named NEWLABEL.
2. Find label printer settings.
In Windows 10, go to Settings and Printers & scanners. Find the label printer and select Manage to open the settings.
3. Adjust default printing settings.
- Set the document orientation to Landscape.
- Go to Advanced.
- Set the Paper/Output to 99012 Large Address.
- Select OK to save.
4. Test by printing.
Print some test labels to see if everything is set up correctly and adjust settings as needed.
Editing and Managing Label Printers and Templates
Label printers and templates can be edited or removed from Provet Cloud. To do this, go to Settings > General > Integrations > Label printing.
Use the pen and delete buttons on the printer and label rows to either modify or remove them.
Troubleshooting
There are empty pages in the PDF file.
- Go to Settings > General > Integrations > Label printing. Open the relevant PDF printer for editing and save the configuration again. Try printing again.
- If this does not help, check and adjust the width, height and resolution of the device configuration. Try printing again.
- If this does not help, contact Provet Cloud support and describe the issue in detail. Please include:
- The label you were trying to print and from which Provet Cloud page
- The PDF printer in question
The content on the label seems incorrectly positioned, there is too much room on one side, or on top or bottom.
- Check all steps where paper size can be configured and make sure it is correct - in Provet, in the browser's print dialogue, and in the printer's advanced settings in the operating system. When you do a test print, the size options are usually available in the dialogues that pop up, some settings may be under subpages like 'advanced'.
- If this does not help, contact Provet Cloud support and describe the issue in detail. Please include:
- The label you were trying to print and from which Provet Cloud page
- The PDF printer in question
The text content is printed sideways and may be very small (one-click printing).
- Check and change the default orientation of the page in your (default) physical printer's settings. For large address labels, set it to Landscape. Note that the orientation may be defined on the operating system level or in the individual printer's driver settings. Try printing again.
- If this does not help, check and change the rotation through the PDF printer configuration in Provet Cloud (Settings > General > Integrations > Label printing). Try printing again.
- If this does not help, contact Provet Cloud support and describe the issue in detail.
The text is in the right orientation but appears too small or large even though the PDF file looks correct.
- Choose another default paper size for your physical printer. For Dymo large address labels, the size 99012 Large Address appears to work well.
- If this does not help, contact Provet Cloud support and describe the issue in detail.
When reporting issues, it is helpful if you can include photos of the printing issues (see examples below).
