Adding a Prepayment With Provet Pay

With Provet Pay, it is possible to take prepayments and use all the same technical payment methods as with regular payments.

To add a prepayment:

  1. Go to the client's profile in Provet Cloud.
  2. Select New > Prepayment from the top right corner.
  3. The prepayment dialogue opens. Select Provet Pay as the payment type.
  4. Add a Description.
  5. Add an Amount.
  6. Select Save. The Provet Pay dialogue opens. 
  7. Choose the payment method and select Charge to start the payment process.

Refunding a Prepayment to a Provet Pay Card

To refund a prepayment to a client's card on file:

  1. Go to the client's profile in Provet Cloud.
  2. On the Billing tab, find the Prepayments/Deposits section (may use a custom name).
  3. Find the prepayment you want to refund and select the small i-button at the end of the row.
  4. Select Refund.
  5. Select Provet Pay as the payment type.
  6. Optionally, adjust the Amount.
  7. Select Save. The Provet Pay dialogue opens.
  8. Add the Refund reason.
  9. Select Refund to complete the process.

NOTE: When selecting multiple prepayments and trying to refund them all at once, it is not possible to choose the Provet Pay method for refunds. Refund one by one as instructed here.

Prepayment Request Message Settings

It is possible to customise the messages that go out with prepayment request emails and SMS messages or follow the general online payment messaging settings.

In general, there are three options:

  1. The prepayment request messaging follows the organization-level online payment message settings.
  2. The messaging follows the department-level online payment message settings.
  3. The prepayment request messages are customised at the department level, following the instructions below.

To start using custom prepayment messages on the department level:

  1. Go to Settings > General > Integrations > Provet Pay.
  2. Open the section for editing using the pen button.
  3. Make sure that the options Use organization's Email message settings and Use organization's SMS message settings are toggled off as needed.
  4. Enable the option Use separate message for prepayments. Note that there are separate checkbox options for email and SMS.
  5. Use the text fields to customise the messages.
  6. Select Save.
