How do I know if a patient is on a health plan?
Patients who are on a health plan have a heart icon next to their name in the client and patient list and on various other pages. For more information, see Managing Health Plan Subscriptions.
How do I collect money from a client for a heath plan?
There are different payment and invoicing options for health plans. For example, you can manage monthly billing through Provet Cloud or using Nordhealth Pay, or use a third party billing system. For more information, see Adding a Patient to a Health Plan.
How do I know what items are included in a patient's health plan?
You can view health plan subscriptions and their contents on the Clients & Patients > Health Plans tab. On the consultation page, you can view the patient's health plan contents by clicking the health plan link in the sidebar on the right-hand side of the page. How can I know if someone is late on their payments?
You can view your clinic's health plan subscription payments on the Health plan > Payments tab. Using the filters, you can view, for example, late or failed payments. For more information, see Viewing Health Plan Subscription Payments in Managing Health Plan Subscriptions.
Also, when you open a client's health plan subscription, either from the consultation page or from the Clients & Patients > Health plan list, a notification about late payments is shown. Note that late payments do not prevent the use of the health plan; the consultation can continue and health plan items can be used.
Can I run a report of customers on a health plan?
There is currently no report function, but you can view a list of your clinic's health plan subscriptions on the Clients & Patients > Health Plans tab and export this list to Excel.
If I change the price on the plan, does it change the price for current subscribers?
No. Current, active subscribers signed the contract at a set price, so any new pricing on items, monthly payments, or fees will not apply. However, when a subscription is renewed, new pricing will be applied.
If I add a new item or remove an item on a health plan, is the item removed or added in current subscriptions?
You can select whether you want to apply the item change to current subscriptions. When adding or removing an item or an item group on a health plan, select the Update to active plans or Remove from active plans checkbox if you want to update existing subscriptions.
If you add an item to an item group used in a health plan, for example, replace a discontinued product with another, all health plans that include the item group are automatically updated and the item is updated to current subscriptions.
Note! The cost of existing subscriptions does not change if you add or remove items on a health plan. Be careful not to make changes that result in a breach of contract.
Does the amount a client saves by being on a plan show on the invoice?
Yes, there is a summary of the health plan benefits on each invoice. The savings are also shown on the patient’s health plan subscription page.
Can a patient be on more than one plan?
Yes, a patient can be on as many plans the client wants. For example, a clinic may offer a basic health plan that covers visits and another plan that includes parasite control or vaccines, or a basic senior plan and an additional plan that offers a discount on laboratory items or x-rays.
Can I have one plan that covers multiple species, such as dogs and cats?
Yes. When creating a health plan, a primary species must be selected, but when adding a subscription, you can filter to show all health plans and select any plan to a patient.
Can I use health plan items in a counter sale?
Yes. When you select an item for a counter sale, you will see a notification if the item is included in the patient's active health plan and can select whether to use it from the health plan.
Can health plans be shared between departments?
Yes. Health plans always have a main department, but they can be shared with other departments if they share the same item lists. However, the main department always receives the monthly payments of the health plan. If the client pays in advance for the whole contract, the payment recipient depends on the health plan settings.
How do I add a patient on a new health plan after their old plan ends?
If the patient's old health plan is in Provet Cloud, you can renew the health plan subscription on the patient's health plan subscription page. You can select the same or a different health plan to continue after the current subscription ends. See Renewing a Subscription in Managing Health Plan Subscriptions.
If the patient's old health plan is not in Provet Cloud, you can add a new subscription for the patient to a new health plan in Provet Cloud and then set the subscription to start after their old plan ends. Can I change the payment method of an existing health plan subscription?
If Nordhealth Pay or the Gravity Payments integration is in use for the health plan subscription, you can change or remove the existing payment card. When a payment card is removed from a health plan subscription, the subscription's payment method changes automatically to monthly billing through Provet Cloud if the client has an email address saved in Provet Cloud and email communication is allowed.
If a payment card was initially used for automatic health plan subscription payments and it was removed, you can select it again later or add a new card and restart recurring payments. However, if another payment method was initially selected for the subscription ('Not specified' or 'Monthly billing through Provet Cloud'), you cannot change the payment method to recurring payments through Nordhealth Pay or Gravity Payments in the middle of the subscription period.
