Checking If a Microchip Number Has Been Registered
When the VetEnvoy microchip registration integration is used in your system, you can check from the microchip icon whether a patient's microchip number has been registered to a microchip database. The microchip icon is shown in various places in Provet Cloud, for example, on the patient header row of the client and patient page, the appointment details dialogue, the dashboard, and the consultation page.
- The microchip icon is red when a microchip number has not been saved for a patient.
- The microchip icon is orange when a microchip number has been saved but not registered, or the registration has failed. The icon is also orange if the microchip number has not been checked for over a month.
- The microchip icon is green when a microchip number has been registered successfully.
Registering a Microchip Number
You can register a patient's microchip number after adding a new number or checking or changing an existing number or separately from the microchip icon or from the patient details when a valid microchip number has already been saved to the patient's records.
Note that the client's address and phone number and the patient's breed must be saved in the client and patient details before a microchip number can be registered. If any of the required information is missing, the registration fails, and the missing information is listed in the registration dialogue with the Go to client & patient details button.
Once the registration is finished, either a success or an error message is shown. You can also close the registration dialogue while the registration process is still ongoing and open the registration dialogue again later to view the result. For more information about successful and failed registrations, see Viewing Microchip Registration Information and Log.
Registering After Adding, Changing or Checking a Microchip Number
For first adding a new microchip number or checking or changing an existing number, see Adding and Checking Microchip Numbers.
After you add a microchip number during a consultation or from the microchip icon, a microchip registration dialogue including a Register to VetEnvoy button opens automatically. To register the microchip number, select the Register to VetEnvoy button.
Note that in multi-patient consultations, microchip numbers can be added for several patients in one go, but registering has to be done separately.
If you add or change a microchip number in the patient details on the client and patient page, the Register to VetEnvoy button appears under the Microchip id field.
Registering an Existing Number
From the Microchip Icon
- Hover your mouse over the microchip icon to view the patient's microchip information.
- When a microchip number has not been registered, the tooltip includes a Register to VetEnvoy link.
- If a previous registration attempt has failed, the tooltip includes a Retry link.
- Select the link to register the microchip number.
From the Patient Details on the Client and Patient Page
When a microchip number has been saved but not registered, a Register VetEnvoy link is shown next to the Microchip field in Patient Details. Select the link to register the microchip number.
You can also go to the patient details editing page and select the field and use the Register to VetEnvoy button.
Viewing Microchip Registration Information and Log
Successful Registration
When registering a microchip number has finished successfully, the View Receipt button appears in the registration dialogue. The button opens a registration receipt on a separate tab.
You can later open the registration receipt from the download button next to the Microchip field on the Patient details tab of the client and patient page.
When a microchip number has been registered successfully, the microchip icon shown in various places in Provet Cloud is green.
Failed Registration
If registering a microchip number fails, an error message is shown in the registration dialogue. An orange information icon is also shown next to the microchip number on the Patient details tab of the client and patient page, and the microchip icon shown in various places in Provet Cloud is orange.
Registration may fail, for example, if the microchip number does not match with a supported microchip database or if the same microchip number has already been registered.
When microchip registration fails, a task is created automatically either for you (the user who attempted the registration) or for another user defined as the responsible person for microchip registrations in the VetEnvoy integration settings. You can view more information about microchip registration attempts in the microchip registration log. If you cannot correct the error and register a microchip successfully, contact Provet Cloud Support.
Viewing Duplicate Microchip Numbers
Select the pen button next to the Patient details section title on the client and patient page to go to the patient details editing page. Then select the Show duplicates button in the red error message box at the top of the page.
Microchip Registration Log
If you have the required permissions, you can view all microchip registrations and their statuses in Settings > Integrations > VetEnvoy connection under Microchip register log,
- Registered: Successful registration.
- In progress: Registration is currently in progress.
- Failed: Registration failed.
The Details column includes a link to the registration receipt when the registration was successful or shows information about the error when a registration failed.
