Checking an Existing Microchip Number
Introduction
You can add a new microchip number or change or check an existing microchip number in various places in Provet Cloud. A new microchip number is typically added when a microchip is implanted during a consultation. When a patient with an existing microchip comes in, you can check the microchip number or add a missing number to the patient's records when marking the patient as arrived. In addition, a microchip number can be added or checked from the microchip icon or in the patient details on the client and patient page.
Note that a microchip number should be 15 characters long according to the ISO 11784 standard. However, it is also possible to save a shorter number in Provet Cloud.
If the VetEnvoy integration is used in your Provet Cloud for microchip registration, Provet Cloud prompts you to register the microchip after you have added it. For more information, see Registering a Patient's Microchip Number Using the VetEnvoy Integration.
Checking If a Microchip Number Has Been Added to a Patient's Records
You can check from the microchip icon whether a microchip number has been added to a patient's records. The microchip icon is shown in various places in Provet Cloud, for example, the patient header row on the client and patient page, the appointment details dialogue, the dashboard, and the consultation page. The icon colour shows whether a microchip number has been added:
- Red: A microchip number has not been saved for the patient.
- Orange: The microchip number has not been checked for over a month.
- Green: A microchip number has been saved for the patient and checked recently.
Note that if the VetEnvoy integration is used in your Provet Cloud for microchip registration, the microchip colour shows whether the microchip has been registered. For more information, see Registering a Patient's Microchip Number Using the VetEnvoy Integration.
Adding a New Microchip During a Consultation
- On the consultation page, under Treatment items, add a microchipping procedure. After the item has been added, the microchip dialogue opens automatically. If the dialogue does not open, check your department settings.
- In the Microchip id field, add the microchip number.
- In the Date of microchip implantation field, you can add the implantation date. Depending on the settings, this may be required.
- Select Add.
In Multi-Patient Consultations
- On the consultation page, under Treatment items, add a microchipping procedure, selecting the patients you want to add the procedure for. After the items have been added, the microchip dialogue opens automatically. If the dialogue does not open, check your department settings.
- In the Microchip id fields, add the microchip numbers for the patients.
- In the Date of microchip implantation fields, you can add the implantation date. Depending on the settings, this may be required.
- Select the Add button and the Save as new checkbox for each patient.
- Select Save.
Adding or Changing a Microchip Number on Patient Arrival
Depending on the department settings, you may be able to add a missing microchip number or check or change the existing number when marking a patient as arrived. In a multi-patient consultation, this option is not available, but you can check the patients' microchip numbers from the microchip icons in the appointment details dialogue.
- On the 'mark as arrived' page, add the new microchip number or change the existing number in the Microchip id field.
- In the Date of microchip implantation field, you can add the implantation date. Depending on the settings, this may be required.
- Select Add.
- A new number is shown in green with a checkmark.
- When changing a number, the new number is shown in red with a checkmark, and the old number is shown below the new one. Select the Save as new checkbox next to the new number.
When you mark the patient as arrived or start the consultation, the new microchip number is saved in the patient's profile.
Adding or Changing a Microchip Number from the Microchip Icon
- Select the microchip icon anywhere it is available.
- In the Microchip id field, add the new microchip number or change the existing number.
- In the Date of microchip implantation field, you can add the implantation date. Depending on the settings, this may be required.
- Add or change the number:
- When adding a new number, select Add.
- When changing a number, select Check. The new number is shown in red with a checkmark and the old number is shown below the new one. Select Save to save the new number.
Adding or Changing a Microchip Number on the Client and Patient Page
- On the Patient details tab of the client and patient page, select the pen button next to the Patient details section title. The patient details editing page opens.
- In the Microchip id field, add the new microchip number or change the existing number.
- In the Date of microchip implantation field, you can add the implantation date. Depending on the settings, this may be required.
- Select Save at the bottom of the page.
Checking an Existing Microchip Number
When a patient has an existing microchip, you may want to check that the microchip works and the number matches the information saved in Provet Cloud.
When a patient's existing microchip number has not been checked for over a month, the microchip icon is orange. Depending on the settings, a reminder may also be shown on the invoice page if the patient's microchip was not checked during the consultation.
Note that the microchip number saved in Provet Cloud cannot be checked automatically against a microchip reader's reading. You have to compare the numbers and confirm the microchip number in Provet Cloud manually.
- Select the patient's microchip icon anywhere it is available. In a multi-patient consultation, you can check the patients' microchip numbers from the microchip icons in the appointment details dialogue.
- In the microchip dialogue, the current microchip number is shown in the Microchip id field. Check that the microchip number is correct and select Check. If the microchip is not correct, you can change it.
Removing a Microchip Number
Select the patient's microchip icon anywhere it is available and select Not microchipped in the microchip dialogue.
You can also open the patient details for editing on the client and patient page and delete the microchip number from the Microchip id field.
Duplicate Microchip Numbers
Adding microchip numbers to patients helps to avoid duplicate patients. If you try to add a new patient with a microchip number that has already been saved to another patient's records, a warning is shown on the patient details editing page.
Note, however, that it is possible to save a duplicate microchip number to an existing patient without a warning from the microchip icon, on the 'mark as arrived' page, or when adding a microchip number with the microchipping procedure. You can avoid this by adding a microchip number from the patient details page, where a warning is always shown if the microchip number is already in use.
Related Settings
Settings > General > Department > Department settings
- Enable microchip recommendation: When this setting is selected, the microchip field is included on the 'mark as arrived' page and a microchip check reminder is shown on the invoice page if the patient's microchip was not checked during the consultation.
- Require microchip implantation date for microchipped patients: When this setting is selected, the microchip implantation date must be added when a microchip number is added or changed.
- Add procedures without confirmation: When this setting is not selected, the microchip dialogue for adding a new microchip number opens automatically after a microchipping procedure has been added to a consultation's treatment items. See also the microchipping item setting below.
Settings > Items & Lists > Items
The microchipping special procedure option must be selected for items that automatically open the microchip dialogue for adding a new microchip number:
- On the Items & Lists page, open the microchipping item for editing. On the General tab, under Item options, select the Microchipping option from the Special procedure drop-down list.
